Institutionally Limited Nominations

Institutionally limited nominations differ from other funding opportunities, in that Duke University is invited to submit a limited number of proposals in response to each solicitation.  Therefore, anyone interested in submitting a proposal to one of these programs must first submit an application for internal review and nomination by the appointed review committee.  All institutionally limited nominations, for both campus and medical center are coordinated by the Office of Research Support.

Check out the opportunities:  You can see a list of these opportunities that are currently open on the Current Competitions tab or by using the following address:  http://www.ors.duke.edu/orsmanual/current-competitions

Click on an opportunity to see further details regarding what materials you will need to submit as part of the internal application as well as important dates and links to the sponsor's site.

Typically we ask for:

  • A letter of support from dean/chair - 1 to 1.5 pages
  • Project summary - 2 to 4 pages
  • CV - 2 pages

The requested documents should be compiled into one pdf file to be uploaded.

When you are ready to submit your materials:

  • Go to the Current Competitions page.
  • Click on the opportunity to which you want to apply.
  • You should see an "Applicant" button. Click it.
  • Login with your NetID and password.
  • The next screen will be your personal application space, where you can keep track of pending and prior applications.
  • Click"Browse" to search your computer for the PDF file you wish to upload.  Double click that file and the name of the file should populate the box beside "Browse"
  • Click"Upload."
  • Once the document has uploaded, click "Submit."

Materials should be submitted on or before 11:00 PM.  Please note that after 5:00 PM there is no one in the ORS* office who can help you if you have trouble uploading your document.  No late submissions will be accepted.

The Review Process:  Once the internal deadline has passed, a committee of faculty members is convened to review the submissions and decide which application will move to nominee status. Submissions are rated on a scale of 1 to 5 with 5 being the highest, most desirable score. Reviewers are encouraged to provide feedback for the applications they review, not all will comment on every submission.  Some may be reluctant due to their own time constraints, while others may be hindered by a large pool of applications and a short turn-around time for reviews. When reviews are complete, applicants are notified of the results of their submissions.

Moving Forward:  ORS* starts an SPS* record for the nominee and sends the record number to the nominee and the departmental SPOC*. The nominee(s) will work with a representative from either ORA* or ORS* as well as their departmental grant manager to complete application process.

You may notice an opportunity remaining "open" after the internal deadline has passed.  This is because the nomination limit has not been filled.  In such cases, please contact Anastasia Maddox at amm39@duke.edu if you are interested in submitting a proposal.
